Mailverse, Inc. (“Mailverse,” “we,” “us,” or “our”) provides fully managed, automated Outlook Enterprise infrastructure for cold email at scale. This Privacy Policy explains how we collect, use, disclose, and protect information in connection with our website at mailverse.ai (the “Site”) and our infrastructure setup and management services (the “Services”).
If you do not agree with this Policy, please do not access the Site or use the Services.
2) Scope
This Policy applies to:
- Visitors to our Site,
- Prospective and active customers using our Services,
- Individuals who interact with our forms (e.g., Typeform), email, or support.
This Policy does not govern your own email content or activities in third-party tools you use for sending. You are responsible for your compliance with laws that apply to your outreach (e.g., anti-spam, privacy, data protection).

A. Information You Provide
- Contact & account data: name, business email, company, role, phone, preferences.
- Order & configuration data: domains you bring, tenant/inbox requirements, technical settings, support requests.
- Billing data: billing name, address, VAT/tax info, and transaction metadata (payment processing is handled by our payment provider; we do not store full card numbers).
- Support & communications: messages, tickets, call notes, and feedback.
B. Information Collected Automatically
- Usage & device data: IP address, browser type, operating system, pages visited, timestamps, referring/exit pages.
- Cookies & similar tech: to operate the Site, remember preferences, measure performance, and improve conversions.
C. Information From Service Providers & Partners
- Form/lead tools (e.g., Typeform): form responses and referral data.
- Analytics & performance tools: aggregated metrics about Site usage.
- Infrastructure vendors: limited technical data needed to provision Outlook Enterprise tenants and verify domains (e.g., DNS verification status).
- We do not access or monitor the content of your outbound campaigns sent from your chosen outreach tools. We also do not sell personal information.
4) How We Use Information
We process information to:
- Provide Services: provision Outlook Enterprise tenants, authenticate domains (SPF/DKIM/DMARC), configure mailboxes, and perform requested changes.
- Operate the Site: maintain security, performance, and availability.
- Customer support: respond to inquiries, troubleshoot, and manage requests.
- Business operations: billing, accounting, audits, and fraud prevention.
- Product improvement: develop new features, enhance deliverability and reliability.
- Communications & marketing: send service notices, onboarding, and product updates (you can opt out of non-essential marketing at any time).
Where required by law, we rely on applicable legal bases (e.g., performance of a contract, legitimate interests, consent, compliance with legal obligations).
5) How We Share Information
We may share information with:
- Service providers (processors): infrastructure, hosting/CDN, analytics, security, payment, CRM, and form providers—only as needed to perform services under contract and with appropriate safeguards.
- Professional advisors: lawyers, accountants, and auditors under confidentiality.
- Corporate transactions: in connection with a merger, acquisition, or asset sale (with notice as required by law).
- Legal & compliance: to comply with law, enforce agreements, or protect rights, security, and integrity.
We do not sell personal information and we do not permit service providers to use it for their own unrelated marketing.
6) Outlook Enterprise & Domain Handling
- Bring-Your-Own Domains: You connect domains from the registrar of your choice; we configure DNS authentication (SPF, DKIM, DMARC) and related infrastructure.
- Tenant Isolation: We deploy dedicated Outlook Enterprise tenants per order to keep domains, users, and reputations isolated.
- Mailbox Access: Due to Outlook Enterprise architecture, direct mailbox-level logins are not provided. Upon request, our team performs any needed configuration or administrative action on your behalf.
- Email Content: We do not access, store, or monitor your campaign email content sent via your outreach tools.
7) Data Retention
We retain information only as long as necessary for:
- Delivering the Services,
- Meeting legal, accounting, or reporting requirements,
- Resolving disputes and enforcing agreements.
Retention periods vary by data type and purpose. When no longer needed, we delete or de-identify data in accordance with our retention schedules.
8) Your Rights & Choices
A. Marketing Preferences
You can opt out of non-essential marketing emails at any time via unsubscribe links. We may still send you transactional or service-related messages.
B. Access, Correction, Deletion
Subject to applicable law, you may request access to, correction of, or deletion of your personal information. We may need to verify your identity and the scope of your request.
C. Jurisdiction-Specific Rights
